Export a quote to Xero

What does this do?

Export to Xero downloads the quote as a CSV file in Xero's sales invoice format, one line per item with the tax code set for you. Import it in Xero and the invoice is there without re-typing.

How to use it

  1. Run ▶ Calculate All Rooms on step 4 first; the export needs the calculated quote.
  2. Go to step 5 · Customer Quote and press 🔗 Export to Xero.
  3. A file named xero-invoice-(your quote reference).csv downloads to your device.
  4. In Xero go to Accounts → Sales → Import and choose the file.
  5. Check the draft invoice in Xero before approving it. The due date is set 30 days from today.

For commercial and subcontract work, tell PlanIt whether the job is under CIS and whether the VAT domestic reverse charge applies. The quote then states the VAT and the CIS deduction the right way round. Leave it off for ordinary domestic jobs.

VAT Settings control whether VAT is added to the quote and at what rate. Untick it if you are not registered or the work is zero-rated, and the quote shows plain totals with no VAT line.

Sync to EPOS sends the finished quote into your PlanIt EPOS till with the same quote number and customer, so you can send, accept, take the deposit and convert it to an invoice from the till without typing anything twice. For accounts that run both apps.

Raise an invoice

An invoice is raised either from an accepted quote or straight from the Invoices screen when there was no quote. It gets a number, a due date and appears in the Invoices list so you can see what is paid and what is owed.

Add your own standard quote wording

Standard messages are ready-made lines such as 'To supply and install the flooring to the agreed areas' that you tick onto a Manual Quote or Quick Quote. Add your own once and it is offered on every quote after that.
