Edit, void or delete a quote

What does this do?

Quotes can be changed until they are converted. Every change is kept in the document's history, so you can always see what it said before, when it changed and who changed it.

How to use it

  1. From the ☰ menu choose Quotes and open the quote.
  2. Press Edit quote, make the changes and press Save quote.
  3. To cancel a quote but keep its number on record, press Void. The status becomes Voided.
  4. To remove it altogether, press Edit quote then Delete quote. It is filed under Deleted receipts in History and can be restored.
  5. Press History on the quote to see every edit, when it happened and by whom.

Deleting a receipt on the till is soft: it drops out of totals, reports and account balances but is kept in a Deleted receipts list, and you can restore it at any time. Every deletion is also logged.

Void a sale

Voiding says the sale never happened. Its stock goes back, it comes out of every total and report, and it is filed under Deleted receipts. Use it for a sale that was rung through wrongly and no money changed hands; if the customer has paid, use a refund.

Edit an invoice (and when you can't)

An invoice can be edited until money has been taken against it or stock has moved. After that a change is made properly with a refund or credit note, or by voiding it and raising it again.

Turn an accepted quote into an invoice

Once the customer says yes, the quote becomes the invoice with the same lines and customer. You can raise the invoice to send, or load it onto the till and take the money now.

Add fitting labour and CIS or reverse charge to a quote

Fitting labour can be its own line on a full quote, and for contractor work the quote can show a CIS deduction or the VAT reverse charge so the amount payable is right.
